Limiting the Size of Search Results

TIP     When working with a large amount of data (i.e. thousands of records) you may want to limit the number of records returned with each data query in order to speed up the browse module, and to reduce network traffic (see also When No Field Filters Are Specified). The speed and network traffic improvements will typically only be noticeable when working with a SQL server database.

To limit search results select View  Limit Size of Search Results from the main menu and then select the number of desired records (100, 500, 1000, or 5000), or Unlimited for all records. The records returned will be dependant on the current sort order (see Sorting Data). For example, when sorting in ascending order by customer name, records with a customer name beginning with the letter A will be returned first. Or when sorting in descending order by repair order number, the most recent repair orders will be returned first.

To prevent search result limit settings from being accidentally changed by a particular user, toggle the lock status of all browse view settings on or off by selecting View  Lock View Settings from the main menu while logged in as that user.

Limiting the size of search results is available only for licensed users of version 2.5 and higher, and is not available in the Repair Lite and Repair Micro editions.

Record Counts

When fewer records are returned than the total number of records available in the database, the actual number returned and the total number of records in the database will both be displayed in the lower-right corner of the browse window. For example, if there are 925 records in the database that match the entered filter criteria (see Filtering or Searching Data by Column (Field Filters), and Group Filters), but a 500 record search results limit has been specified, then the record count will be displayed as 500 of 925.

TIP     When working with a large amount of data (i.e. thousands of records) you may want to reduce the number of extra queries to the database by disabling the total record count. Deselect View  Include Of Total With Record Count from the main menu in order to include only the actual number of records displayed in the record count (e.g. instead of 500 of 925, the record count will only read 500).
